Position Overview: Registrar

Northwest Ohio Classical Academy (NOCA) is seeking a highly organized, detail-oriented, and mission-driven Registrar to oversee the management and integrity of student academic records and registration processes. The Registrar plays a vital role in supporting the school’s academic operations by ensuring compliance with state and federal regulations, managing student data, maintaining accurate academic records, and facilitating communication between families, staff, and external agencies. The ideal candidate will have a strong background in student information systems, data compliance, and administrative processes in an educational setting.

Key Responsibilities:

Student Records & Academic Data Management

  • Maintain accurate and up-to-date student academic records, including enrollment status, course registrations, grades, transcripts, and graduation requirements.
  • Manage the collection, entry, and secure storage of student records in compliance with FERPA, state, and local regulations.
  • Process requests for student transcripts, enrollment verifications, and records transfers.
  • Maintain physical and digital student files, ensuring completeness for annual audits and school compliance.

Registration & Scheduling Support

  • Facilitate student course registration and scheduling in collaboration with academic leadership.
  • Support the administration in managing course changes, schedule updates, and related communications with families and staff.
  • Assist in the annual planning and implementation of student scheduling, including course availability and prerequisites.

Enrollment & Withdrawal Oversight

  • Manage and track student enrollment and withdrawal processes in coordination with the EMIS coordinator.
  • Ensure proper documentation and timely data entry for all student status changes.
  • Coordinate re-enrollment and registration updates for returning students.

Data Compliance & Reporting

  • Collaborate with the EMIS coordinator to ensure accuracy and timely reporting of student data, including attendance, discipline, enrollment, and demographic information.
  • Oversee and update all state-mandated student forms through Final Forms and ensure annual updates are implemented.
  • Maintain accurate enrollment and academic records for internal reporting and external audits.

Graduation & Academic Progress

  • Track academic progress and graduation requirements for all students.
  • Prepare and distribute student progress reports and transcripts as needed.
  • Coordinate with school leadership to ensure accurate records for students eligible for graduation or promotion.

Communication & Support

  • Serve as the primary point of contact for all student record-related inquiries from families, staff, and external agencies.
  • Communicate relevant deadlines and requirements related to registration, transcripts, and record updates to stakeholders.
  • Provide support and training to staff in accessing and understanding student records and data systems.

 

Qualifications:

Education & Experience

  • Bachelor’s degree in education, administration, business, or a related field required. Relevant professional experience may be considered in lieu of a degree.
  • Minimum of 2–4 years of experience in school administration, registrar services, or academic records management preferred.
  • Experience with student information systems (e.g., PowerSchool, Final Forms, EMIS) strongly preferred.

Skills & Competencies

  • High level of accuracy and attention to detail.
  • Strong understanding of FERPA, data privacy, and student records compliance.
  • Excellent written and verbal communication skills.
  • Ability to manage multiple deadlines and work efficiently in a fast-paced environment.
  • Proficient in Microsoft Office Suite, Google Workspace, and data reporting tools.

About Northwest Ohio Classical Academy

NOCA is Ohio’s first state-chartered, publicly-funded, independently-governed, tuition-free, classical school. It is curriculum school of the Barney Charter School Initiative of Hillsdale College, a network of classical charter schools united by curriculum and purpose. NOCA opened its doors in 2019, with 210 students in grades K-8, and has seen strong and steady growth. It now serves grades K-12 to over 600 students.
