Position Overview:
Northwest Ohio Classical Academy is seeking a detail-oriented and mission-driven Enrollment and to lead the student enrollment process from initial inquiry through registration and re-enrollment. This role oversees compliance, communication, and data management related to enrollment. The ideal candidate will excel in organization, communication, and event planning, and will play a vital role in representing the school to prospective families and partners throughout the year.
Key Responsibilities:
Enrollment Management
- Manage a compliant process for enrolling and withdrawing students.
- Facilitate enrollment lottery, family communication, registration process, document verification, and document compliance.
- Facilitate re-enrollment for current families.
- Recruit and enroll additional students throughout the school year when withdrawals occur.
- Communicate enrollment policies and procedures to all relevant staff members.
- Develop annual enrollment calendar.
- Provide weekly updates regarding enrollment progress to administration.
- Serve as point of contact for families interested in NOCA.
Data, Compliance & Communication
- Communicate in a timely manner to the EMIS coordinator on discipline, enrollment, withdrawals, and address changes.
- Oversee the process of maintaining and updating all state-required enrollment documents annually through Final Forms.
- Collaborate with Final Forms to create, edit, and update student forms.
- Maintain physical student files ensuring full compliance for annual audits.
- Maintain student archives and initiate annual file transfers to the archive room.
- Ensure enrollment information in all print and digital media is current and accurate.
Event & Tour Coordination
- Prepare for, execute, and track data from all enrollment events.
- Schedule student shadows and prepare student ambassadors, staff, and faculty to welcome guests.
- Schedule and run all family tours and enrollment interest meetings.
- Support administration by planning for, attending, and hosting a minimum of six enrollment events.
- Organize and maintain all enrollment event supplies.
- Serve as a point of contact for vendors related to enrollment
Enrollment Systems & Reporting
- Maintain an enrollment interest management system to track contacts.
- Maintain an enrollment dashboard with up-to-date enrollment and waitlist data.
- Create content and maintain enrollment folders.
Position may include other duties as assigned.
Qualifications:
Education & Experience:
- Bachelor’s degree in business, education, communications, or a related field required. Relevant professional experience may be considered in lieu of a degree.
- Minimum of 2–4 years of experience in enrollment management, admissions, or school administration preferred.
- Experience working in a school or educational setting strongly preferred.
Skills & Competencies:
- Excellent organizational and project management skills with strong attention to detail.
- Outstanding written and verbal communication skills.
- Strong interpersonal skills and ability to work collaboratively with diverse stakeholders (students, families, staff, vendors, and the community).
- Ability to manage multiple tasks and deadlines in a fast-paced environment.
- Proficient in Microsoft Office Suite, Google Workspace, and student information systems (e.g., Final Forms, EMIS, PowerSchool or similar platforms).
- Knowledge of enrollment regulations, compliance, and FERPA requirements is a plus.

About Northwest Ohio Classical Academy
NOCA is Ohio’s first state-chartered, publicly-funded, independently-governed, tuition-free, classical school. It is curriculum school of the Barney Charter School Initiative of Hillsdale College, a network of classical charter schools united by curriculum and purpose. NOCA opened its doors in 2019, with 210 students in grades K-8, and has seen strong and steady growth. It now serves grades K-12 to over 600 students.
