Under the general direction of the Business Manager, the Office Manager shall oversee all aspects of the schools’ front office and building operations following general policies provided by the Board of Trustees (‘Board’). Main responsibilities include, but are not limited to the following: maintaining enrollment paperwork/files, maintaining attendance records, managing inventory, assisting in purchasing, answering phones, welcoming parents/children/guests, coordinating mailings and copying, maintaining attendance intervention documentation, and assisting with school compliance documentation.

Responsibilities include:

  • Supports the mission and philosophy of the school.

  • Supports the Receptionist and any other personnel as assigned by the Principal or Business Manager.

  • Coordinates all professional development activities for staff to create and maintain a positive learning environment.

  • Oversees credit card expenditures and ensures 100% compliance of receipt reconciliation.

  • Coordinate custom reports such as report cards, truancy and discipline letters as well as other customizations to the system.

  • Provides enrollment counseling for incoming students and families.

  • Monitors student information systems and audits for compliance with applicable requirements; implements recommendations and ensures that the systems are flexible and meet NOCA’s needs; incorporates input and feedback to develop and enhance the School.

  • Serve as liaison to parents and facilitate parent education and involvement.

  • Assist high school faculty with student admission testing preparation, financial aid and completion of credit plus documentation.

  • Coordinate hourly payroll submission of timesheets.

  • Oversee Before/After Care coverage and expenses.

  • Lead employee recognition and recreation programs.

  • Works with the Business Manager to understand and submit all compliance and system documentation for the school.

Qualifications:

  • Passion for the mission of NOCA and public education.

  • A Bachelor’s Degree and related experience.

  • General knowledge of computers, computer commands, peripherals, and various operating systems.

  • Ability to work with a high degree of accuracy.

  • Ability to exercise judgement in correcting data errors or omissions.

  • Ability to communicate well with school personnel, parents, students and the main office staff while complying with the confidentiality requirements in local, state, and federal policies and status.

  • Ability to oversee/manage the duties associated with campus receptionist (i.e., answering phones, taking messages, greeting visitors/guests, addressing student needs, and releasing students as requested). Serves as the ‘main-point of contact’ with the community.

  • Excellent organization skills and an ability to coordinate multiple tasks and activities.

  • Demonstrated ethical behavior and confidentiality of information about students and staff in a school environment and community.

  • Must pass necessary background checks.

About Northwest Ohio Classical Academy:

NOCA is Ohio’s first state-chartered, publicly-funded, independently-governed, tuition-free, classical school. It is a curriculum school of the Barney Charter School Initiative of Hillsdale College, a network of classical charter schools united by curriculum and purpose. NOCA opened its doors in 2019, with 210 students in grades K-8, and has seen strong and steady growth. It now offers grades K-10, will add one additional grade each year through 12, and currently has 420 students along with a waitlist. The school is acquiring financing for a multi-million-dollar capital improvement and expansion project to break ground in Spring, 2022. It is a flourishing school with a passionate, dedicated teaching staff and families who value and enthusiastically support NOCA’s mission.
