Northwest Ohio Classical Academy (NOCA) seeks a highly organized and proactive Administrative Assistant/Bookkeeper to support the operations of our charter school. This multi-faceted role will involve managing administrative tasks, financial record-keeping, human resources functions, and ensuring compliance with school policies. The ideal candidate will possess strong communication skills, attention to detail, and a commitment to fostering a positive school environment.
Responsibilities include, but are not limited to:
Administrative Duties:
- Maintain organized filing systems for all school records, including student, staff, and financial documents.
- Oversee the onboarding and offboarding processes for faculty and staff, ensuring all necessary documentation is completed and submitted.
- Manage compliance with local, state, and federal regulations related to school operations.
Human Resources:
- Track paid time off (PTO) for staff and communicate updates and policies.
- Assist in scheduling substitute teachers as needed and maintaining related records.
Financial Management:
- Maintain contracts with vendors and service providers, ensuring timely renewals and compliance.
- Process timesheets and payroll accurately and in a timely manner.
- Manage purchasing for school supplies, equipment, and other necessary resources.
- Oversee student fee tracking and communication, including billing and refunds.
- Prepare and manage bank deposits, ensuring all financial transactions are recorded accurately.
Record Keeping:
- Ensure accurate and up-to-date records for staff, parents, and students, including systems access and permissions.
- Perform registrar duties, including maintaining student enrollment records and generating necessary reports.
Reporting:
- Generate regular reports for school administration regarding financial status, compliance, and other key metrics.
- Assist in preparing documentation for audits and assessments as required.
Qualifications:
- Proven experience in office management, bookkeeping, or human resources, preferably in an educational setting.
- Strong knowledge of payroll processing, compliance, and record-keeping practices.
- Excellent organizational skills with the ability to multitask and prioritize effectively.
- Proficient in Microsoft Office Suite and experience with school management software.
- Strong communication and interpersonal skills, with the ability to work collaboratively with staff, parents, and students.
- Must clear a current background check through the BCI/FBI.

About Northwest Ohio Classical Academy:
NOCA is Ohio’s first state-chartered, publicly-funded, independently-governed, tuition-free, classical school. It is curriculum school of the Barney Charter School Initiative of Hillsdale College, a network of classical charter schools united by curriculum and purpose.
